Job Title: Assistant Facility Manager

 

The role of an Assistant Facility Manager involves overseeing the day-to-day operations of a facility, ensuring that it is well-maintained and efficiently supports the organization's activities. This includes managing maintenance and repairs, coordinating with service providers, monitoring performance, and maintaining compliance with service level agreements.

 

Key Responsibilities:

  • Developing and implementing preventive maintenance programs to ensure buildings and facilities are properly maintained and in good working condition.
  • Coordinating with maintenance staff or external vendors to schedule repairs and maintenance tasks.
  • Managing day-to-day operations of facilities, including security, cleaning, waste management, and utilities.
  • Overseeing service contracts and managing service providers to ensure compliance with service level agreements.
  • Optimizing space utilization within facilities through assessments, planning office layouts, and ensuring efficient allocation of resources.
  • Maintaining health and safety standards within facilities by conducting safety inspections, implementing safety procedures, training staff on safety protocols, and maintaining emergency preparedness plans.
  • Developing and managing facility budgets, identifying cost-saving opportunities, negotiating contracts, and optimizing facility-related expenses.
  • Selecting, contracting, and managing vendors and service providers for facility-related services, such as maintenance, cleaning, security, or landscaping.

 

Requirements:

  • A bachelor's degree in a relevant field, such as facilities management, engineering, or business administration.
  • At least 2 years of experience in facilities management, preferably in a similar role or industry.
  • Excellent communication and interpersonal skills, with the ability to work effectively with various stakeholders, including colleagues, contractors, and vendors.
  • Strong analytical and problem-solving skills, with the ability to identify and address potential issues before they become major problems.
  • Ability to work independently and as part of a team, with a strong focus on collaboration and customer service.
