**Job Title:** Site Operations Manager

We are seeking a highly skilled and organized Site Operations Manager to oversee the daily functioning of our site operations, ensuring all aspects are managed efficiently.

As a key member of our team, you will be responsible for managing site operations, coordinating housekeeping activities, arranging consumables and supplies, interfacing with pest control services, supervising mail room operations, generating reports on site operations, and ensuring compliance audit documents are submitted by vendors in a timely manner.

The ideal candidate will have excellent organizational skills, be able to prioritize tasks effectively, and possess strong communication and problem-solving abilities. Responsibilities:
  • Site Operations Management: Oversee the smooth functioning of daily site operations, ensuring all aspects are managed efficiently.
  • Housekeeping Activities: Monitor and manage housekeeping-related tasks, maintaining a clean and hygienic environment.
  • Consumables and Supplies: Arrange for timely delivery and replenishment of essential consumables and supplies for Client/VIP visits.
  • Pest Control: Interface with pest control services to ensure effective pest management at the facility.
  • Mail Room Activities: Supervise mail room operations, ensuring timely processing and distribution of mail and packages.
  • Reporting: Generate Daily/Weekly/Monthly reports on site operations, identifying areas for improvement and tracking progress.
  • Compliance Audit: Ensure all compliance audit documents are submitted by vendors in a timely manner.
  • Vendor Interaction: Interact with housekeeping vendors, addressing concerns and resolving issues promptly.
  • Facility Rounds: Conduct regular facility rounds, identifying snags and logging Corrigo tickets for immediate attention.
  • Corrigo Ticket Follow-up: Effectively manage Corrigo tickets, ensuring timely resolution and closure in accordance with SLA.
  • Ground Team Management: Manage the ground team, ensuring an on-time deliverable system and high-quality service standards.
  • Routine Inspection: Conduct routine inspections of all services, ensuring performance measures are maintained and improvements are identified.
  • Administrative Support: Provide administrative support to the Assistant Workplace Manager, including security issues, Workplace services, and other administrative functions as required.
  • Inventories: Take ownership of day-to-day administration, including inventory tracking and reporting.
  • Briefing and Communication: Brief housekeeping/mailroom staff during shift deployment, communicating priorities and addressing complaints.
  • Pantry Equipment and Reprographic Operations: Oversee pantry equipment and reprographic equipment operations, identifying issues and taking necessary actions.
  • Incident Reporting: Communicate incidents, issues, and pending problems to the Assistant Workplace Manager.
  • Workplace Safety: Identify and address workplace safety issues, initiating immediate rectification actions.
  • Cafeteria Cleanliness: Monitor cafeteria kitchen cleanliness, vending machines, stock maintenance, and availability.
  • Food Vendors: Monitor food vendors at site, ensuring quality and quantity standards are met.
  • Soft Services Stores: Maintain soft services stores and stocks according to established standards.
  • Vendor Training: Involve in vendor staff training and development programs.
  • Concierge Requests: Manage concierge requests from clients through office boy services.
  • Laundry Management: Manage laundry services, ensuring timely delivery and high-quality standards.
  • Stock Maintenance: Maintain stock levels and issue sports equipment, kitchen equipment, and breakage counts.
  • Artifact Asset Register: Maintain artifact asset registers on a quarterly basis.
  • Vendor Performance Evaluation: Evaluate vendor performance on a monthly basis, identifying areas for improvement.
  • Background Checks: Ensure vendor background checks are conducted regularly.
