Financial Operations Specialist

The Financial Operations Specialist plays a vital role in maintaining the accuracy of financial operations by ensuring timely and precise invoicing. This includes preparing and issuing invoices to customers, meeting delivery timelines, and entering invoices into customer websites.

Key Responsibilities:

  • Prepare and issue invoices to customers
  • Meet invoice delivery timelines
  • Enter invoices into customer websites
  • Submit invoices via electronic data interchange
  • Understand key areas in invoicing specific to customers
  • Check each field on invoices before submission
  • Maintain support and backups for invoices
  • Provide timely updates on invoice submission status
  • Maintain invoice submission logs and customer invoicing process files
  • Collaborate with teams to accelerate invoice submission processes
  • Send statements of accounts to customers
  • Reconcile self-billed cases with customer-approved timesheets
  • Handle invoice rejections and credit/rebills
  • Maintain standard operating procedures (SOPs) for invoicing and update them regularly
  • Support continuous improvement of invoicing platforms
  • Assist in invoicing and collection of payments

Requirements:

  • Minimum 2 years of experience in invoicing
  • Excellent written and oral communication skills
  • Hands-on experience with Microsoft Excel (formulas, V-lookup, Pivot Tables)
  • Good analytical and process knowledge
  • Good accounting knowledge
