Job Summary:

We seek a skilled professional to manage the lifecycle of software assets, including procurement, license management, and compliance.

Key Responsibilities:
  • Process software requests via vendor portals.
  • Validate license availability and assign licenses through vendor platforms.
  • Initiate license harvesting or procurement when necessary.
  • Maintain accurate records of license assignments, usage, and compliance.
  • Track contract expirations using dashboards.
  • Coordinate with legal and procurement for contract reviews and renewals.
  • Ensure contracts are active and published before purchase orders are created.
  • Maintain documentation in record-keeping systems for audit readiness.
  • Create and manage purchase requisitions and purchase orders in business management systems.
  • Collaborate with a center of excellence for purchase processing.
  • Document all approvals.
  • Track purchase order status and update stakeholders accordingly.
  • Use shared mailboxes for all vendor interactions.
  • Tag all communications to relevant task records.
  • Coordinate with vendors for quotes, license keys, and order confirmations.
  • Coordinate with engineering teams for software packaging and deployment.
  • Track deployment status and update task records.
  • Manage add-ons and plugin deployments via software platforms.
  • Conduct regular license usage reviews and reclaim unused licenses.
  • Document all actions for audit and compliance purposes.
  • Support internal and vendor audits by providing accurate license data.
  • Maintain and update dashboards for renewal and compliance tracking.
  • Export and format data from record-keeping systems for dashboard imports.
Required Skills & Qualifications:
  • Bachelor's degree in information technology, business, or a related field.
  • Three to six years of experience in software asset management or IT procurement.
  • Proficiency in business management systems, record-keeping systems, and software platforms.
  • Strong understanding of software licensing models and compliance regulations.
  • Experience with vendor portals and contract management systems.
  • Excellent documentation, communication, and stakeholder management skills.
  • Ability to work independently and collaboratively in a global team environment.
