About the Role:

The Special Aide provides executive support to senior management, serving as the primary point of contact for internal and external stakeholders. This role involves collaborating with various teams to ensure cohesive implementation of strategic goals.

Key Responsibilities:
  • Cross-Functional Collaboration:
    • Work closely with departments to implement strategic goals effectively.
    • Provide insights and feedback to senior management based on observations and interactions across departments.
  • Communications & Partnerships:
    • Keep senior management's bio updated and respond to requests for materials regarding them and the organization.
    • Edit and complete first drafts for written communications to external stakeholders.
  • Board Support & Liaison:
    • Serve as senior management's liaison to the Board of Directors.
    • Assist board members with travel and logistics arrangements as needed.
    • Maintain discretion and confidentiality in relationships with board members.
    • Ensure compliance with bylaws regarding board matters.
  • Senior Management Liaison:
    • Participate as an adjunct member of the Executive Team, assisting in scheduling and attending meetings.
    • Coordinate agendas for senior management team meetings and off-sites.
    • Facilitate coordination of Strategic Project Management and Initiatives:
    • Assist senior management in identifying and prioritizing key strategic initiatives.
    • Conduct research and analysis to support decision-making processes.
    • Prepare presentations and reports to communicate findings and recommendations.
  • Relationship Management:
    • Serve as the primary point of contact for internal and external stakeholders, facilitating clear communication.
    • Foster strong relationships with team members, partners, and clients to enhance collaboration and engagement.
  • Executive Support:
    • Complete a range of administrative tasks, including managing calendars, preparing expense reports, and composing confidential correspondence.
    • Arrange complex travel plans and itineraries; compile documents for travel-related meetings.
    • Plan and coordinate schedules, using discretion to manage access to time and office.
    • Act as a bridge for smooth communication between senior management and internal departments.
