Facilities Operations Manager
We are seeking a seasoned Facilities Operations Manager to oversee our office infrastructure, daily operations, vendors, compliance, and workplace safety. This role requires a hands-on individual who can ensure our employees work in a seamless, secure, and comfortable environment while optimizing costs and operational efficiency.
The successful candidate will have at least 10 years of experience in facilities/office administration with stable tenure and clean references. They should possess strong negotiation, documentation, and Excel/email skills. The ideal candidate will be trustworthy with keys, cash, and confidential information.
The key responsibilities of this role include:
- Managing electricity, DG, UPS, water, AC, ventilation, internet, CCTV, printers, fire safety, and other office utilities
- Ensuring preventive maintenance, quick breakdown resolution, and vendor SLA compliance
- Overseeing housekeeping, pantry, stationery, front desk, security, and visitor management
- Monitoring hygiene, consumables, and office cleanliness standards
- Onboarding new joiners with desk setup, ID/access cards, and basic kits
- Managing exits, asset returns, access deactivation, and clearances
- Tracking attendance, late entries, and exceptions
- Maintaining a reliable vendor bench, negotiating costs, tracking AMCs, and monitoring service quality
- Coordinating lease agreements, office fit-outs, repairs, and landlord escalations
- Verifying bills, reconciling petty cash, maintaining records for leases, insurance, licenses, and safety certificates
- Keeping NOCs, insurance, safety certificates, and first-aid kits up to date and audit-ready
- Preparing monthly MIS: spend vs budget, incidents, vendor scorecards, SLA compliance, and risks/fixes
- Tracking KPIs: utility uptime, hygiene audit scores, ticket closure times, and budget adherence
- Ensuring late-shift office readiness and providing on-call support for urgent issues
