Move Management Specialist

Job Description

Execute relocation plans through collaboration with stakeholders, adhering to quality and best practices.

Key Responsibilities:

  2. Portfolio Updates: Maintain CAFM / IWMS technology for accurate headcount, space, and area data.
  3. Generate multiple reports for assigned locations (space allocation by BU, location, building, floor, etc.).
  4. Communicate floor plan changes promptly to the Space Data Management team.
  5. Ensure data accuracy within Space technology for assigned locations.
  6. Develop move project plans through collaboration with stakeholders, including the Space Planner, Facility Manager, Project Manager, and other key stakeholders.
  7. Manage meetings to review move schedules with vendors and stakeholders.
  8. Establish move project goals and objectives, making adjustments as necessary to achieve desired outcomes.
  9. Input data into the CAFM / IWMS system to maintain accurate occupancy information.
  10. Prepare project status reports, tracking reports, and maintain files for due diligence and financial purposes.
  11. Meet KPI targets consistently.
  12. Execute relocation projects within CAFM / IWMS technology.
  13. Ensure client satisfaction throughout the move management process.
  14. Perform all move management activities in accordance with documented processes.
  15. Adhere to the move management schedule.
  16. Process client move requests.
  17. Act as a single point of contact for all move management activities.
  18. Participate in planning meetings hosted by clients, Occupancy & Space Planning, and other key stakeholders.
  19. Evaluate vendors to ensure compliance with performance standards.
  20. Ensure complete project initiation, execution, and closeout documentation.
  21. Monitor vacancy and capacity changes.
  22. Assume a front-ending role for Business Units and engage with senior leaders frequently.
  23. Profile should have strong communication skills (verbal and written).
  24. Experience with advanced Excel, macros, and monthly database calibration is essential.
  25. Coordinate with Business Units.
  26. Review and submit portfolio and space information.
  27. Cost allocation and early warning systems for demand and supply are critical.

The ideal candidate will possess relationship-building skills, strategic thinking, strong verbal and written communication skills, experience with activity-based working programs, ability to delegate, manage small teams and multiple projects simultaneously, translate data into planning initiatives and data-driven decision-making, planning experience preferred, CAFM / IWMS experience preferred, Microsoft Office tools specifically Excel and PowerPoint, AutoCAD skills preferred.
