The primary function of this role is to provide high-level business engagement support.
Key responsibilities include planning, coordinating, and performing all engagement activities in a professional and efficient manner.
This involves serving as the primary point of contact for customers involved in engagements.
A crucial aspect of this role is preparing reports, presentations, and briefing materials for meetings and engagements.
Effective communication and interpersonal skills are essential in facilitating communication between business teams, external partners, and leadership.
Another key responsibility is visiting event management.
This includes planning and coordinating business visits, including executive leadership visits, vendor interactions, and client engagements.
Organizing agendas, itineraries, and briefing documents for visits is also a critical task.
The successful candidate will ensure a smooth experience for visitors by coordinating logistics such as transport, accommodation, meeting spaces, and technical requirements.
Additionally, they will handle the execution of town halls, workshops, and networking sessions at the business operations location.
Logistics operational coordination is another key area of responsibility.
This involves overseeing logistical arrangements for meetings, training sessions, and events at the site.
The ideal candidate will ensure availability of meeting rooms, audiovisual equipment, catering, and required materials.
They will also handle procurement and vendor coordination for engagement-related requirements.
Monitoring and owning the budget for business engagements and related logistics is a critical task.
In terms of customer management communication, the successful candidate will act as an integrator between business operations, corporate teams, and external partners.
Ensuring timely communication and follow-ups related to business engagements is essential.
Supporting internal teams with engagement-related documentation, approvals, and compliance processes is also a key responsibility.
Assisting in preparing engagement dashboards, tracking partner feedback, and identifying improvement areas is another critical task.
Lastly, process improvement best practices are essential in this role.
The successful candidate will find opportunities to improve the efficiency of engagements, visit management, and logistical processes.
Implementing standard methodologies for smooth coordination between different business functions is also a key responsibility.
Developing standard operating procedures (SOPs) for engagement logistics and partner interactions is a critical task.
- Bachelor s degree or equivalent experience in business administration, Operations Management, Event Management, or a related field.
- PMP (Project Management Professional) or event planning certification (preferred but not mandatory).
The ideal candidate will have 5-7 years of experience in project coordination, business engagement, corporate event management, or administrative operations.
Prior experience working in a business operations environment or supporting senior business leaders is highly desirable.
Experience in leading logistics, vendor coordination, and partner engagement is also essential.
The successful candidate will possess strong coordination and interpersonal skills - ability to handle multiple engagements and logistics simultaneously.
Excellent communication and interpersonal skills - ability to coordinate with senior leadership, vendors, and operational teams are also required.
Attention to detail - ability to ensure smooth execution of business engagements is critical.
Proactive problem-solving - ability to anticipate challenges and resolve them efficiently is also essential.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and event management tools is necessary.
Ability to work under critical scenario and adapt to a fast-paced business environment is also required.
