Procurement Specialist Job Description

Job Summary:

  • We are seeking a highly skilled Procurement Specialist to join our team. The successful candidate will be responsible for procuring goods and services in line with company policies and procedures.

Key Responsibilities:

  • Process RFQs, place orders, and close out purchase orders for identified A-Cat items.
  • Identify suppliers in consultation with CLB, ensure timely receipt of offers, and coordinate with Proposal Manager for receipt of TQ and replies from suppliers.
  • Prepare and resolve CQs with suppliers, prepare CBE, highlight price-adders for unresolved deviations, and arrange meetings with suppliers for negotiation and supplier selection.
  • Coordinate with Supplier for Export formalities, co-ordinate with DEC & QA I for receipt of TQ & TBA and replies from Supplier, discuss with CLB & PPM for finalizing list of suppliers for sending RFQ, and provide inputs to PMT for billing to client.

Additional Responsibilities:

  • Review supplier lists, prepare and issue RFQs to suppliers, and expedite receipt of supplier offers.
  • Evaluate offers and prepare commercial bid evaluations, negotiate B&C category items, and select suppliers.
  • Ensure ordering of items as per project schedule, meet requirements of TP, and arrange for delivery of B&C category items.
  • Timely preparation and release of POs in SAP, support activities to CLB during frame agreements, and distribute un-priced and priced PO copies.
  • Provide periodic intimation to LLE about tentative date of readiness, update progress schedules, check draft shipping documents, and give despatch clearance to suppliers.
  • Send intimation on despatch to LLE, site PM, and timely receipt of shipping documents from suppliers.
  • Issue RPs to suppliers, reconcile the same, open and monitor LCs, send information pertaining to shipment to FA, update fund forecast registers, verify supplier invoices, make payment requests, and arrange timely payments to suppliers.

Required Skills and Qualifications:

  • Proven experience in procurement and supply chain management.
  • Strong communication and negotiation skills.
  • Ability to work under pressure and meet deadlines.
  • Proficient in MS Office and SAP software.
  • Bachelor's degree in Business Administration or related field.
