Operational Excellence Team Coordinator

Job Summary:
The Administrative Support Specialist for I&D will provide high-level administrative support to the I&D Operational Excellence Team. This role involves managing access to common mailboxes, creating lists of all common mailboxes, and maintaining MS Team and filing structures.
Key Responsibilities:
- Manage access to common mailboxes and create lists of all common mailboxes.
- Maintain MS Team and filing structures, and perform SharePoint updates/upgrade/administration and meeting coordination.
- Coordinate administrative activities such as travel arrangements, international roaming activation, and necessary business approvals.
- Understand the business and training requirements from team members and source related vendors with the help of the Procurement Team.
- Coordinate the creation of purchase requisitions and purchase orders, and arrange for proforma and final tax invoices from vendors.
- Track finance-related activities for the department, arrange for necessities for training/seminar/workshop related to the department, and timely update team-related data.
- Track and submit team attendance, Concur claims, and calendar management, and coordinate monthly team meetings.
- Support new employee onboarding and diverse projects.
Requirements:
- Bachelor of Commerce degree.
- Excellent knowledge of English (spoken and written), and knowledge of German, French, or any other language would be an asset.
- Sound knowledge of MS Office (Word, PowerPoint, Excel).
- Well-organized and detail-oriented, service-oriented, able to work under pressure, and good interpersonal skills and team player.
