Job Title: Sr Administrative Executive

As a highly skilled Administrative Manager, you will play a pivotal role in ensuring seamless operational readiness for our projects. This includes identifying, negotiating, and arranging suitable staff accommodations, coordinating site readiness before launches, and verifying the availability of facilities, utilities, and supplies.

Key Responsibilities:

  • Secure reliable and convenient staff rooms near project sites to promote team cohesion and productivity.
  • Coordinate with vendors, contractors, and suppliers to ensure timely setup of furniture, fixtures, and utilities.
  • Conduct pre-launch site inspections to verify cleanliness, safety, utilities, equipment, and overall operational readiness.
  • Maintain liaison with local authorities, landlords, and service providers to facilitate smooth administrative tasks execution.
  • Procure and ensure availability of required materials such as stationery, uniforms, housekeeping items, and other essentials.
  • Prepare and maintain comprehensive site readiness checklists and reports for management approval and review.
  • Handle travel, accommodation, and logistical arrangements for staff during launch phase, ensuring minimal disruptions to project timelines.
  • Manage petty cash, admin budgets, and expense records for site setup, adhering to company policies and regulatory requirements.
  • Ensure compliance with company policies, safety standards, and statutory requirements, promoting a secure and healthy work environment.
  • Support operations teams with any ad-hoc administrative requirements during pre- and post-launch phases, fostering collaboration and mutual understanding.

Requirements:

  • Bachelor's degree in Administration, Management, or related field.
  • 3–5 years of experience in facilities management, administration, or site coordination (hospitality/F&B industry preferred).
  • Strong negotiation, vendor management, and problem-solving skills.
  • Ability to handle multiple sites and work under tight deadlines.
  • Proficient in MS Office and basic reporting tools.
  • Willingness to travel and work flexible hours during project launches.
