Bookkeeper (SMBs and Franchise Accounting)


At the heart of our organization lies a day-to-day owner role for franchise bookkeeping across multiple locations. This highly responsible position entails running clean books at both location and consolidated levels, ensuring timely period closes, and delivering unit economics that inform decisions.


The Role

You will be accountable for owning daily posting and month-end close processes for multiple sites; maintaining standardized chart of accounts by brand is also crucial. Additionally, you will need to reconcile bank/credit card/merchant accounts, including fees and chargebacks, and match POS sales to deposits to resolve over/short cash variances.


Key Responsibilities
  • Multi-Unit Bookkeeping
    • Ongoing daily posting and month-end close processes for multiple locations
    • Maintaining standardized chart of accounts by brand
    • Reconciling bank/credit card/merchant accounts, including fees and chargebacks
    • Matching POS sales to deposits to resolve over/short cash variances
  • POS & Systems
    • Integrating and reconciling data from Toast, Square, Clover, Lightspeed, Revel, Shopify POS as applicable
    • Maintaining clean bank feeds and mapping rules in QuickBooks Online or Xero
    • Supporting exports from FranConnect or similar franchise systems
  • Revenue, COGS, and Inventory
    • Recording daily sales summaries net of discounts, comps, refunds, taxes, tips
    • Tracking inventory/COGS and waste, posting landed costs, and helping implement perpetual or period inventory where applicable
    • Managing deferred revenue e.g., gift cards, prepaid packages/memberships and redemptions
  • AP/AR & Cash Control
    • Running three-way match for vendor bills PO/invoice/receipt where used coding shared costs across locations
    • Processing payments, credit memos, and vendor statements managing W-9 collection and 1099-NEC vendor lists
    • Setting and monitoring cash-handling controls and deposit cadence
  • Payroll & Labor
    • Preparing payroll inputs hours, tips, PTO and reconciling payroll journals coordinating with providers ADP, Gusto, Paychex
    • Tracking labor % by location/department and accruing payroll taxes/benefits as needed
  • Compliance & Taxes
    • Preparing sales/use tax workpapers across states coordinating e-filings experience with Avalara/TaxJar a plus
    • Supporting CPA with 941/940 state filings and annual returns maintaining audit-ready records
  • Reporting & Unit Economics
    • Delivering location P&L balance sheet cash flow and consolidated roll-ups on a 4-5-4 retail calendar or monthly close
    • Building simple KPI packs: sales mix AOV labor % COGS % prime cost ad-fund % royalty % occupancy % EBITDA flagging anomalies and actionable insights
