The Project Administrator role at DNV is responsible for ensuring efficient and timely project set-up, updates, and invoicing, with a focus on minimizing WIP days to maximize cashflow in the business. This position communicates with both internal and external clients in a professional manner on all related topics.

Key Responsibilities:

  • High proficiency in working with relevant systems, performing project set-up, updates, invoicing, and project closing activities.
  • Prioritize and deliver timely support requests.
  • Proactive, timely, and accurate invoicing in line with contract to reduce WIP balances.
  • Collaborate and communicate regularly with the Project Controller and Project Manager on related items.

Project Operations:

  • Project setup and maintenance in Teamcenter, including agreement and budget.
  • Project setup and maintenance in Oracle Finance, including agreement and budget.
  • Classifications, task creation and maintenance, bill rate addition and maintenance, project/date revisions and closure, and all other general project setup and maintenance.
  • Quality control of project setup for accurate transactional and general ledger processing and invoicing (coordination with the PC and/or PM).

Invoice Processing:

  • Draft invoice generation.
  • Transaction control adjustments in expenditure inquiry (time transfers, splits, holds, billable flags, as directed by the Project Controller and/or Project Manager).
  • Work with the PC and/or the PM to resolve transactional errors in Oracle.
  • Event entry and processing related to invoicing and revenue recognition.
  • Invoice processing.
  • Invoice manual revisions to the formatted document and attachments.
  • Invoice distribution up to and including client portal entry.
  • Credit memo approval request, Oracle creation, and processing.

  • 3-7 years of relevant working experience in a project administrator/billing role.
  • Excellent written and verbal communication skills in English.
  • Demonstrate strong attention to detail.
  • Experience in interacting with international stakeholders, comfortable working as part of a global and multi-cultural team.
