Job Summary:

Fulfilling a key role within our Human Resources team, we are seeking an ambitious and detail-oriented individual to support day-to-day administrative tasks. The selected candidate will have the opportunity to gain hands-on experience in HR operations, developing essential skills for future career growth.

The ideal candidate will be responsible for handling follow-ups, maintaining accurate timesheet records, and supporting various HR-related functions. This is an excellent chance to work in a dynamic environment, collaborate with a talented team, and contribute to the success of our organization.

Key Responsibilities:

  • Timesheet Management: Collect, verify, and update employee timesheets on a regular basis, ensuring accuracy and timeliness.
  • Coordinate with team leads/managers for approval and follow-up on discrepancies, promoting a seamless workflow.
  • Maintain up-to-date timesheet records and databases, facilitating efficient HR processes.
  • Follow-Ups & Coordination: Follow up with employees for document submissions, pending timesheets, or HR-related information, providing timely assistance and support.
  • Liaise with different departments for HR process coordination, fostering effective communication and collaboration.
  • Administrative Support: Assist with employee record maintenance (physical & digital), ensuring data accuracy and security.
  • Help prepare HR reports, spreadsheets, and documentation as required, contributing to informed decision-making.
  • Support in onboarding/offboarding formalities (checklists, ID card processing, etc.), ensuring a smooth transition for new employees.
  • General HR Support: Assist in organizing HR-related meetings, events, or training sessions, promoting a positive and inclusive work environment.
  • Maintain inventory of HR supplies and forms, ensuring adequate resources for daily operations.
  • Support any ad-hoc administrative tasks or projects, demonstrating flexibility and adaptability.

Requirements:

  • Pursuing or having completed a degree/diploma in Human Resources, Business Administration, or a related field, demonstrating relevant knowledge and expertise.
  • Proficiency in MS Office (Excel, Word, Outlook) and other software applications, enhancing productivity and efficiency.
  • Strong organizational and communication skills, enabling effective collaboration and stakeholder engagement.
  • Ability to multitask and meet deadlines, prioritizing tasks and managing time effectively.
