Job Title: Compliance Administrator

We are seeking a diligent and detail-oriented individual to join our team as a Compliance Administrator. In this role, you will provide essential administrative support to the Compliance Function, ensuring the effective coordination, maintenance, and documentation of compliance activities across the institution.

The successful candidate will have experience in an administrative or compliance support role, with excellent organizational skills, attention to detail, and record-keeping abilities. Strong written and verbal communication skills are also essential for success in this position.

Key Responsibilities:
  • Compliance Support & Coordination:
    • Assist the Head of Compliance in the day-to-day management of compliance obligations.
    • Maintain compliance trackers and logs, such as risk registers, GDPR incident logs, training completion logs, and policy review calendars.
    • Monitor deadlines and ensure timely submission of statutory returns or compliance actions.
  • Documentation & Records Management:
    • Maintain accurate records of data processing activities, data breaches and near misses, subject rights requests, policy reviews, and updates.
    • Support in drafting, formatting, and publishing internal policies and procedures.
  • Data Protection Administration:
    • Support handling of Data Subject Access Requests (DSARs) requests.
    • Ensure all records of consent, privacy notices, and data processing agreements are properly archived and accessible.
    • Log and escalate privacy concerns to the Compliance Head as appropriate.
  • Reporting & Audit Preparation:
    • Collate documentation and evidence for internal and external audits or inspections.
    • Generate monthly and quarterly compliance status reports and dashboards for internal use.
  • Staff Training & Awareness:
    • Monitor and report on completion rates of mandatory compliance training.
    • Provide administrative support for scheduling and tracking training, webinars, and briefings.
  • Cross-Departmental Liaison:
    • Coordinate with departments such as IT, Registry, HR, Academic Governance, and Marketing to gather compliance inputs.
    • Work with the IT team to support the Head of Compliance in tracking cybersecurity compliance measures.
    • Support communication of new policies, updates, or alerts across departments.
