We are seeking a highly skilled and organized Office Manager to oversee the day-to-day administrative tasks of our organization. The ideal candidate will be responsible for managing a wide range of administrative duties, from preparing reports and maintaining accurate records to overseeing daily office activities.
Responsibilities:
- Reporting & Documentation: Prepare and submit all reports to the Home Office on time for the Reporting Team. Manage invoices and Daily Sales Reports (DSRs), and prepare E-invoices to hand over to Sales Representatives.
- Vehicle & Fuel Management: Manage vehicle data, maintain fuel records, and oversee insurance renewals. Maintain and update Petro card details.
- HR Support: Complete the joining formalities for newly hired employees and maintain temporary files.
- Financial Management: Supervise and update cash, cheque, and credit outstanding for customers. Make a list of invoices for payment to organized retailers. Manage petty cash for expenses like petrol, diesel, and parking fees. Receive cash and cheques and deposit them into the bank.
- Inventory & Asset Management: Maintain and update the outlets list, visicooler list, and inventory status. Check morning stock and evening returns. Maintain coolers and ice packs. Summarize the monthly material inventory status.
- General Administration: Conduct and supervise all other administrative works, such as managing business cards, ID cards, and uniforms.
Required Skills and Qualifications:
- Administrative Experience: Good hands-on experience with Microsoft Office.
- Communication: Good command over English and the local language.
- Organizational Skills: Strong organizational and multi-tasking skills.
- Administrative Knowledge: Experience with various administrative tasks, including front-office duties.
Qualification:
- A graduate degree is preferred.
