We are seeking a highly skilled Administration Manager to oversee the daily support operations of our organization and implement efficient administrative procedures. The goal is to ensure all support activities are carried out efficiently and effectively, enabling other operations to function smoothly.
Job Responsibilities
- Planning and coordinating administrative systems and devising ways to streamline processes
- Evaluating Admin. staff performance and providing coaching and guidance to ensure maximum efficiency
- Monitoring inventory of office supplies and managing the purchasing of new materials within budgetary constraints
- Overseeing facilities services, maintenance activities, and tradespersons (e.g electricians)
- Organizing and supervising other office activities (recycling, renovations, event planning etc.)
- Housekeeping/ Security/ Pantry /Cleanliness Management
- Ensuring operations adhere to policies and regulations
- Staying up-to-date with organizational changes and business developments
- Ensuring the smooth flow of information within the company to facilitate other business operations
- Negotiating with vendors and travel agents for best prices
- Managing Calendar & Arranging travel itineraries and accommodations for employees (Domestic & International)
- Vendor Development/Management - selection of vendor, coordination, delivery commitments
- Purchase, re-order and maintain housekeeping supplies and other inventory
- Maintenance & upkeep of all office assets
- AMCs (Annual Maintenance Contracts)
- Liasoning/maintaining Good relations with Govt bodies & police officials
- Tracking expenses to ensure compliance with cost budget
- Submitting MIS report on Administration expenses to relevant Senior Authority
- EHS & fire safety measures
Qualification & Skillset
- Ability to work independently with minimal supervision
- Excellent documentation skills using MS Word, Power Point, Excel, etc.
- Strong interpersonal skills and willingness to communicate with clients, colleagues, and management
- Good time management skills, including prioritizing, scheduling, and adapting as necessary
- Excellent Oral & Written Communication skills
- Strong team player and well-versed in Admin support services
- Good mailing communication and basic drafting skills
- Pro-active and reliable individual with ability to perform best in challenging situations
