Job Description:

The Role of a Hub Admin Manager involves overseeing the management of HUB Admin activities and operations. This includes defining the scope and Key Result Areas (KRAs) for team members, communicating with immediate management for day-to-day activities, and directly reporting to Regional Admin Head on a daily basis.

The candidate will be responsible for monitoring and reporting key project activities, plans, and progress. They will also be in charge of managing calls and discussions, end-to-end Exam day and non-Exam day administrative activities management, and ensuring zero incidents on Exam day related to Admin Services.

Other responsibilities include helping in recruitment, training, and talent development of team members, defining and deploying control and monitoring mechanisms for the Admin Team within HUB, and training and developing the Admin Team within HUB.

The candidate will ensure the standardization of processes at all Exam Venues within HUB, manage vendors, support Regional Head in finalizing contracts and vendor invoices, and publish regular dashboards on Key Performance Parameters to Regional Admin Head and Senior Management as needed.

The role also involves being the central point of contact for all facility-related matters within HUB, ensuring Service Level Agreements/Service Level Commitments at Exam Venues, governance over VidZ/LISP partners, and deployment of ad-hoc/contract manpower at Exam Venues.

Additionally, the candidate will help/support in shortlisting prospective partners/venues identified based on defined parameters within the region, maintain and monitor legal compliances for all Venues, prepare and deploy contingency/BCP, conduct surprise checks at Exam Venues, handle crisis situations, and coordinate/manage with manpower agencies on deployment and other staff-related issues and compliances.

Any other duties assigned from time to time will also be part of the job requirements.

Required Skills and Qualifications:
  • Good communication skills (written/verbal)
  • Strong technical knowledge of Electrical Equipment
  • Experienced in Soft Services Facility Mgmt.
  • Experience in Facility Operations and Management
  • Must have managed a team
  • Experience in conflict management
  • Willing to work, learn, and perform under extreme pressure
  • Willing to travel
  • Good liaisoning with Police and other local Govt. departments
  • Aware of laws related to facility compliance and operations
  • Vendor Management skills
  • Open to take complete ownership, responsibility & accountability of assigned work
  • Good computer knowledge (Microsoft Excel, Word, PowerPoint etc)
