Job Title: Administrative Support Professional

We are seeking an experienced Administrative Support Professional to join our team at NOV Inc. The successful candidate will provide administrative support as directed, serving as the first point of contact for internal employees, telephone inquiries, and office visitors/guests.

Primary Responsibilities:

  • Receiving and relaying messages/telephone calls from internal and external sources.
  • Greeting guests/visitors, documenting information, issuing appropriate security passes, and reporting security issues.
  • Responding to routine inquiries on office location, hours of operation, telephone numbers, email/website addresses.
  • Preparing packages and contacting service for pick up and/or coordinating with NOV mailroom. Effectively processing incoming and outgoing mails.
  • Providing administrative support to the business as directed.
  • Maintaining inventory of safety supplies, office supplies, printed supplies, and other miscellaneous supplies.
  • May coordinate meetings/room bookings. Overseeing administrative conference room activities (meeting set-ups, projector, coffee/water, scheduling).
  • Ordering lunches for Guests, customers, meetings, and conferences.
  • Becoming safety conscious and reporting any safety hazards to the HSE representative.
  • Being responsible for and having the authority to maintain and promote a safe working environment in accordance with the appropriate HSE procedure(s).
  • Participating in actions which promote a safety and quality culture within NOV.
  • Complying with all NOV Company and Quality, Health Safety Environmental policies & procedures.
  • Ensuring compliance of the company's overall objectives.
  • Performing other work-related tasks as assigned by Manager.

Facility/Group Specific Responsibilities:

  • Travel Desk Co-ordination.
  • Maintaining Notice boards.
  • Kronos Power User for Pune (New Register, Maintain Biomatrix clocking & overtime calculation).
  • Assisting IT for local L1 Support as below Level 1 activities like Network troubleshooting, Hardware troubleshooting with coordination with IT support. Collect & help to reissue the laptops/Pcs for new & replacement PCS. Also connect pc to network, login to temp admin account if required & installing OS through offline boot image.... Etc. Assisting to procure local IT equipment's. Maintaining Printers & looking after Printer toner inventory.

Education & Experience Qualifications:

  • Diploma or bachelor's degree from any stream.
  • Minimum 1-2 years of experience as receptionist/front desk office.
  • Proficient in use of Microsoft Office suite of products.

Estimated Salary:$40,000 - $60,000 per year.
