Key Responsibilities:

  1. Provide administrative support to senior executives, including scheduling, coordinating meetings, and managing appointments.
  2. Manage complex travel arrangements, including flights, accommodations, and event planning.
  3. Handle and screen telephone calls, ensuring timely responses and effective communication.
  4. Process expense claims and manage company finances, ensuring accuracy and compliance.
  5. Coordinate internal and external meetings, conferences, and events.
  6. Foster relationships with government agencies and external partners.
  7. Prepare management reports and meeting materials, ensuring high-quality output.
  8. Stay up-to-date with industry trends and best practices, applying knowledge to improve processes and systems.
  9. Support special projects and activities, contributing to the efficient operation of the company.
  10. Develop and maintain strong relationships with internal and external stakeholders.

Requirements:

  • Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • Experience working in a multi-layered matrix organization with multiple offices.
  • Excellent communication, interpersonal, and analytical skills.
  • Ability to prioritize tasks, meet deadlines, and work independently.
  • Strong problem-solving skills, with the ability to collect data, establish facts, and draw valid conclusions.
  • Ability to adapt to changing priorities and deadlines.
