Job Summary

  • This position is responsible for managing regional administrative activities, operations, and admin team.

Key Responsibilities:

  1. Complete ownership of managing regional administrative activities, operations, and admin team.
  2. Define scope and key result areas (KRA) for team members.
  3. Communicate and coordinate with immediate management to develop strategic programs and project goals.
  4. Direct reporting to the zonal administrative head on day-to-day activities, incident management, etc.
  5. Monitor and report key project activities, plans, and progress.
  6. Manage calls and discussions.
  7. End-to-end exam day and non-exam day administrative activities management and team coordination.
  8. Ensure zero incidents related to administrative services on exam days.
  9. Assist in recruitment, training, and talent development of team members.
  10. Develop and deploy control and monitoring mechanisms for the admin team within the region.
  11. Train and develop the admin team within the region.
  12. Standardize processes at all exam venues.
  13. Manage regional vendors and support the zonal head in finalizing contracts and vendor invoices.
  14. Publish regular dashboards on key performance parameters to the zonal admin head and senior management as needed.
  15. Serve as the central point of contact for all facility-related matters at the regional level.
  16. Ensure service-level agreements (SLAs) and service-level credits (SLCs) are met at exam venues.
  17. Oversee governance of ViDZ/LISP partners, including regular meetings and closure of audit points.
  18. Manage contracts.
  19. Support shortlisting prospective partners or venues identified by city heads based on defined parameters within the region.
  20. Maintain and monitor legal compliances for all venues.
  21. Prepare and deploy contingency plans (BCPs).
  22. Conduct surprise checks at exam venues.
  23. Handle crisis situations.
  24. Coordinate and manage relationships with manpower agencies.
  25. Conduct audits of exam venues.

Requirements:

  • Strong communication skills (written and verbal).
  • Technical knowledge of electrical equipment.
  • Experience in soft services facility management.
  • Background in facility operations and management.
  • Proven team management experience.
  • Conflict resolution skills.
  • Ability to work under pressure.
  • Willingness to travel.
  • Good liaisoning skills with local government departments.
  • Awareness of laws related to facility compliance and operations.
  • Vendor management skills.
  • Ownership, responsibility, and accountability for assigned work.
  • Proficiency in computer applications (Microsoft Excel, Word, PowerPoint, etc.).
