  • Procurement Management:
    • Oversee sourcing vendors, negotiate contracts, and make cost-effective purchasing decisions.
    • Process purchase orders, track deliveries, and ensure timely receipt of goods and services.
    • Maintain detailed records of procurement activities and manage supplier databases.
    • Collaborate with internal departments to forecast procurement needs and approve purchases.
  • Invoicing and Financial Operations:
    • Create and manage client invoices using QuickBooks, ensuring accuracy and alignment with purchase orders and contracts.
    • Record, track, and reconcile invoices in QuickBooks, processing payments efficiently.
    • Monitor invoice status and follow up on overdue payments with clients.
    • Resolve invoicing discrepancies promptly.
  • Accounting and Financial Reporting:
    • Work closely with the finance team to ensure accurate financial records and reconciliation of procurement-related expenses.
    • Maintain accurate accounting records in QuickBooks, documenting all financial transactions related to procurement and invoicing.
    • Prepare regular reports on procurement activities, expenses, and invoice aging for management review.
    • Support preparation of financial statements and budgets, aligning with procurement and invoicing data.
  • Vendor and Client Communication:
    • Act as primary contact for vendors, resolving procurement issues smoothly.
    • Communicate billing and invoicing concerns with clients, providing prompt resolutions and maintaining positive relationships.
    • Coordinate payment processing with internal teams, ensuring timeliness and accuracy.
