Administrative Support Role

We seek a highly organized and detail-oriented individual to fill an Administrative Specialist position.

Key Responsibilities:

  • Operational Management: Manage day-to-day office activities, including schedules, meetings, and task completion.
  • Procurement and Inventory: Procure office supplies and assets, maintain inventory records, and optimize resource utilization.
  • Liaising with External Parties: Develop and maintain relationships with vendors, service providers, and building management for seamless services.
  • Facilities and Equipment: Ensure the smooth functioning of facilities, equipment, and utilities, and perform routine maintenance tasks as needed.
  • Documentation and Filing: Maintain accurate documentation and filing systems, both physical and digital, and ensure compliance with company policies.
  • Human Resources Support: Assist HR with onboarding/offboarding processes, employee attendance, and leave tracking, while maintaining confidentiality when handling sensitive information.

Requirements:

  • Education: Bachelor's degree in any discipline (required).
  • Experience: 3–5 years of proven experience in office administration or operations (required).
  • Skills: Proficient in MS Office Suite (Word, Excel, Outlook), excellent organizational, coordination, and communication skills, strong problem-solving abilities, and attention to detail.

Preferred Skills:

  • Office Budgeting: Basic knowledge of office budgeting and vendor negotiations.
  • Office Management Software: Familiarity with office management software or ERP systems.
  • Fast-Paced Environment: Comfortable working in a fast-paced and deadline-driven environment.

Qualifications:

  • Bachelor's Degree: Equivalent experience accepted.
  • Interpersonal Skills: Strong interpersonal, customer service, and communication skills.
  • Multitasking: Ability to multitask and prioritize tasks effectively.
