Job Title: Information Research Specialist

Summary:

We are seeking a highly motivated and detail-oriented Information Research Specialist to support our business development and project documentation processes.

This role involves conducting strategic research to identify new business opportunities, maintaining and organizing all project-related documentation, and preparing management information reports for internal review and decision-making.

Main Responsibilities:

  • Business Research & Analysis:
    • Conduct market research on potential clients, ongoing/upcoming architectural projects, government tenders, and competitors to stay up-to-date with industry trends and best practices.
    • Identify and track Request for Proposals (RFPs), Request for Quotations (RFQs), Expressions of Interest (EOIs), and other bidding opportunities from public and private sectors.
    • Prepare client profiles, project briefs, and analysis reports to assist the Business Development team in making informed decisions.
    • Coordinate with online tendering portals and procurement platforms to streamline the process and ensure timely submissions.
  • Documentation Management:
    • Maintain and organize all documentation related to architectural projects, including drawings, contracts, approvals, and correspondences, in a secure and easily accessible manner.
    • Track project progress documentation, including timelines, deliverables, and revisions, to ensure that all stakeholders are informed and aligned.
    • Ensure timely filing and secure storage of physical and digital documents as per company protocol.
    • Update and maintain document control logs to ensure accuracy and compliance.
  • MIS & Reporting:
    • Prepare regular management information reports for project status, submissions, document tracking, and business leads to provide valuable insights and inform business decisions.
    • Assist in the preparation of presentations, proposals, and other marketing documents to effectively communicate project information and outcomes.
    • Support audit requirements by ensuring proper document trails and maintaining accurate records.
  • Coordination:
    • Liaise with internal design and project teams to collect required documentation and facilitate collaboration.

Requirements:

To be successful in this role, you will need:

1. A degree in a relevant field, such as business administration, communications, or a related discipline.

2. Proven experience in business research and analysis, documentation management, and MIS reporting.

3. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

4. Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.

5. Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.

6. Familiarity with online tendering portals and procurement platforms.
