Are you a highly organized and detail-oriented professional looking for a new challenge? We are seeking an experienced Office Manager to join our team in the shipping industry.
Job Description:
We require someone with strong communication skills, a proactive attitude, and the ability to work under pressure in a fast-paced environment. You will be responsible for supporting daily administrative functions, ensuring smooth operations, and effective coordination of shipping and logistics activities.
Key Responsibilities:
- Documentation Management:
- Prepare and process shipping documents such as bills of lading, invoices, packing lists, certificates of origin, and customs declarations.
- Maintain and organize electronic and hard copy files for shipping and logistics records.
- Coordination with Shipping Partners:
- Liaise with shipping lines, freight forwarders, customs brokers, and other stakeholders to ensure timely shipment of goods.
- Track and update shipment status, resolving any issues or delays with vendors, carriers, or customers.
- Scheduling and Monitoring:
- Coordinate the scheduling of shipments and deliveries, ensuring efficient use of resources and compliance with deadlines.
- Monitor the progress of shipments, providing regular updates to internal teams and customers.
- Customer Service Support:
- Handle customer inquiries related to shipment status, documentation, and logistics services.
- Provide support to the sales and operations teams to resolve customer concerns related to shipping.
- Inventory and Supply Chain Support:
- Maintain accurate records of inventory, goods in transit, and shipments arriving or departing from the warehouse.
- Assist in coordinating inventory levels and logistics for efficient shipping.
- Data Entry & Reporting:
- Enter shipment and tracking data into the company's system.
- Prepare reports related to shipment performance, delays, and costs for management review.
- General Office Administration:
- Handle general office tasks, including filing, photocopying, and handling phone calls and emails.
- Maintain office supplies and ensure the smooth functioning of office equipment.
Required Skills and Qualifications:
To be successful in this role, you will need:
- Strong knowledge of shipping procedures, documentation, and logistics operations.
- Proficient in MS Office Suite (Excel, Word, Outlook).
- Experience with shipping management software or ERP systems is a plus.
- Strong communication skills (verbal and written) to interact with internal teams and external partners.
- Detail-oriented with excellent organizational skills.
- Ability to multitask and prioritize effectively in a dynamic environment.
- Strong problem-solving skills and ability to work under pressure.
