About the Role

The Digital Services Coordinator is a vital member of our Client Services team, serving as the primary point of contact for order management and customer liaison. This role focuses on delivering exceptional customer service, ensuring timely and defect-free order fulfillment. The successful candidate will work closely with production teams to guarantee that customers' orders are met, communicate effectively with clients and internal departments, and provide daily support for title/asset deliveries.

Key Responsibilities:

  • Provide day-to-day support to customers, prioritizing excellent customer service and satisfaction.
  • Communicate and report on order management and delivery statuses, keeping clients informed of missing asset reports and delivery schedules.
  • Establish and maintain relationships with third-party Content Providers and Customers, ensuring timely receipt of assets and files in compliance with policies.
  • Clearly communicate expected delivery dates for titles/assets, entering ordered titles into internal systems and providing email or verbal updates for special cases and exceptions.
  • Daily identification of late or at-risk title/assets, proactively escalating issues to the Content Operations team and monitoring resolution/delivery.
  • Coordinate with internal operations teams to ensure on-time delivery of all Customer orders, setting priorities according to daily work schedules and agreed-upon production schedules.
  • Notify internal stakeholders of client workflow changes, new provider onboarding requests, delivery delays, and programming changes, escalating issues quickly to supervisors and senior management.
  • Create Proformas (estimated and final) and request POs from customers.
  • Work with Fulfillment to ensure they have all required assets to process an order.
  • Request missing assets necessary for order fulfillment.
  • Manage urgent or high-profile orders with Fulfillment.
  • Educate Content Providers on any content not delivered to PDS prior to due dates.
  • Advise customers of potential content misses before the due date occurs.

We are seeking a highly organized and detail-oriented individual with strong verbal and written communication skills. Experience working in fast-paced environments managing high volumes of orders without error is essential. Familiarity with workflows across multiple locations and time zones is a plus.

Requirements and Qualifications
  • Minimum 3 years' experience in a Customer Service-based role.
  • Customer Service experience at an Entertainment or Media company is strongly preferred.
Estimated Salary Range: $65,000 - $85,000 per year
