Procurement Specialist for Vessel Maintenance

The role of Procurement Specialist involves acquiring spare parts, consumables, and technical equipment for vessels.

Key responsibilities include:

  • Strategic Sourcing & Vendor Management
    • Source and procure high-quality spare parts, consumables, and technical equipment for vessels.
    • Identify, evaluate, and negotiate with suppliers to secure competitive pricing and reliable products.
    • Build and maintain strong relationships with vendors and service providers to ensure timely support.
  • Order Processing & Coordination
    • Process purchase requisitions from vessels and fleet management teams efficiently.
    • Ensure accurate and timely order placement, tracking, and follow-ups.
    • Coordinate with logistics and supply chain teams to arrange timely delivery of goods to vessels worldwide.
  • Cost Control & Budget Optimization
    • Support the monitoring and control of procurement budgets.
    • Identify opportunities for cost savings without compromising on quality or safety.
    • Review and verify supplier invoices and ensure accurate documentation for payment processing.
    • Ensure timely clearance of invoices in the system and follow up on pending payments.
  • Compliance & Documentation
    • Ensure all procurement activities are in compliance with maritime regulations and classification society requirements.
    • Maintain accurate records of purchases, contracts, and vendor agreements.
    • Assist during audits related to procurement and inventory management.
  • Technical Support & Communication
    • Collaborate closely with vessel superintendents and technical teams to understand and fulfill purchasing requirements.
    • Provide alternative solutions when specific parts or equipment are unavailable.
    • Keep vessels updated on order status and delivery timelines.

The ideal candidate will possess a solid understanding of vessel maintenance and dry-docking requirements, familiarity with international maritime regulations, and proficiency in procurement and inventory management software. Key skills include strong negotiation and vendor management capabilities, excellent leadership, communication, and problem-solving skills, and the ability to manage multiple tasks effectively in a fast-paced environment.
