Job Title: Technical Operations Specialist

About the Role:

We are seeking a highly skilled Technical Operations Specialist to join our team at Novo Recruitment Solutions Pte Ltd. The successful candidate will be responsible for ensuring the environmental preservation and safety of our operations, while also providing administrative support to our marine industry teams.

Key Responsibilities:

  1. Make environmental preservation and safety a top priority in all operations.
  2. Coordinate the creation and submission of monthly, weekly, and quarterly reports, as well as meeting schedules.
  3. Support the preparation for audits and ensure all necessary data and slides are prepared and submitted on time.
  4. Provide and evaluate unprocessed data and slides for quarterly warnings and Quarterly Management Reviews (QMR).
  5. Assist with ad hoc duties as requested by the line manager.
  6. Organize and plan vetting inspections for agents, oil companies, ship teams, and vessels.
  7. Notify the Flag State Authority following any PSC inspection on board vessels, as mandated by the BMA.
  8. Submit PSC reports and Non-Conformance reports to OCIMF, as applicable.
  9. Update the SIRE INTERTANKO benchmarking repository.
  10. Track and monitor bills and responses pertaining to SIRE, Non-SIRE, and audits.
  11. Maintain the officer matrix, HVPQ, Q88 data, and OCIMF reporting up to date.
  12. Collaborate with the audit team, managers, and boats to track and close Navigation, Cargo, and Mooring audit.
  13. Follow up, review, and upload audits, including ISM code reviews, ISPS, ELP, TMSA, and other customer/class audits.
  14. Review, update, and submit incident and near-miss reports in the reporting system.
  15. Compile and submit monthly HSEQ meeting responses to boats.
  16. Upload the minutes of shore team meetings to the ship management SharePoint site.
  17. Track HSEQ-related tracking sheets, including incident follow-up, audit dates, and LTI free dates.
  18. Develop a deep understanding of contracts and contractual administration to ensure seamless overlap with the contract administrator.
  19. Assist in the compilation of management reviews every three months.

Requirements:

  • Prior experience in the marine industry or a diploma in business or maritime studies is preferred.
  • The ability to think critically, solve problems, manage time, and make informed decisions is essential.
  • Strong communication skills, both written and spoken, are required to effectively interact with customers.
  • Excellent interpersonal and teamwork skills are necessary to collaborate with colleagues and stakeholders.
  • Proficiency in Microsoft Office programs is a must for administrative tasks.
