Job Role: Executive – HR Operations

Overview

We are seeking an Executive - HR Operations to join our team. The successful candidate will be responsible for handling various HR operations, including SAP and non-SAP invoice processing, vendor management, Sodexo card distribution, onboarding, and manual letter creation.

Key Responsibilities
  • SAP Operations:
    • Create purchase requisitions, purchase orders, and supplier return notes in SAP for invoice processing and obtain barcodes for payment sharing.
    • Follow up and track payments with different approvers for timely processing.
    • Maintain management information systems for all payments based on financial year.
    • Process critical invoices within defined turnaround times.
    • Resolve invoice-related queries and hold payments.
    • Other invoice processing within turnaround times.
    • Process supply, event, and advance invoices.
    • Release consultant invoices and ensure timely payment.
  • Non-SAP Operations:
    • Process non-purchase order invoices and release payments within turnaround times.
    • Process employee expense invoices.
    • Process consultant reimbursement bills.
  • Vendor Management:
    • Share vendor registration formats and create vendor codes.
    • Review agreement documents and process modifications.
    • Resolve vendor queries and update payment status.
    • Collect agreement documents from subject matter experts.
    • Automate payment clearance processes.
  • Sodexo Card Distribution:
    • Distribute new employees' and old employees' Sodexo cards and gift cards.
    • Maintain employee query records and clear them with Sodexo subject matter experts.
    • Maintain Sodexo card record manual sheets and management information systems.
    • Create yearly purchase requisitions & purchase orders for JSW Steel, JSW Retail, JSW Projects, and JSW Techo Projects.
  • Onboarding:
    • Review employment and educational documents submitted by candidates before joining.
    • Verify physical documents and create employee files.
    • Create ID cards and employee IDs for Corporate Office employees.
    • Create employee IDs and hand over cards to PAN India location employees.
  • Manual Letter Creation:
    • Create visa letters.
    • Create and extend internship letters.
    • Create project completion letters.
    • Create relieving and exit letters.
    • Create, revise, and extend consultant letters.
    • Create other manual letters as per request.
  • Additional Responsibilities:
    • Plan senior management employees' inductions based on HR business partner requests.
    • Set up in-person interactions for senior management employees.
    • Plan and coordinate tour visits of senior management employees with Plant HRs.
