Administrative Coordinator

We are seeking an experienced Administrative Coordinator to join our team. As a key member of our support services group, you will provide comprehensive administrative support to senior managers and functional leadership.
Key Responsibilities:
- Provide administrative assistance to assigned functions and project leaders.
- Manage visits of expats and senior officers to India on behalf of project leaders.
- Screen phone calls and visitors, direct them to appropriate parties, and follow up to ensure action.
- Compose and distribute correspondence using Bechtel standard systems.
- Review outgoing documents for accuracy and format before submitting for manager's signature.
- Collect, review, and distribute incoming mail, handling mail that does not require manager's attention.
- Manage travel arrangements, including visa applications, hotel bookings, and local logistics.
- Schedule meetings, arrange facilities, equipment, and refreshments, and prepare agendas and minutes.
Requirements:
- Graduate degree with at least 10 years of experience in administrative support to senior management.
- Excellent oral and written communication skills.
- Thorough knowledge of grammatical rules, spelling, punctuation, and required formats.
- Proficiency in Microsoft Applications, especially MS Excel, Word, and PowerPoint.
- Strong organizational and multi-tasking skills.
- Demonstrated knowledge of filing systems and common office procedures.
