Procurement Specialist Job Description

We are seeking an experienced and skilled Procurement Specialist to join our team. As a key member of the procurement function, you will be responsible for planning, sourcing, and managing the purchase of goods and services.

Key Responsibilities:
  • Procurement Planning:
  1. IDentify the goods and services required by the institution.
  2. Develop and implement procurement plans in alignment with organizational needs.
Supplier Selection:
  1. Evaluate, select, and approve suppliers based on quality, cost, and reliability.
  2. Negotiate terms and pricing to ensure cost-effective purchasing.
Purchase Orders:
  1. Prepare and process purchase orders accurately and timely.
  2. Ensure all procurement activities comply with institutional policies and procedures.
Contract Management:
  1. Draft, review, and manage procurement contracts.
  2. Ensure adherence to contractual terms and resolve any disputes.
Supplier Relationship Management:
  1. Maintain strong relationships with vendors and suppliers.
  2. Monitor supplier performance to ensure timely delivery and quality standards.
Recordkeeping:
  1. Maintain accurate records of procurement activities, purchase orders, contracts, and supplier databases.
  2. Ensure proper documentation for audit and compliance purposes.
Continuous Improvement:
  1. Monitor market trends and recommend improvements in procurement processes.
  2. Identify cost-saving opportunities and implement best practices in sourcing and purchasing.

Educational Qualification:

  • Bachelor's degree in Business Administration or a related field.
