Job Overview:

This pivotal role oversees and optimizes day-to-day office functions, ensuring seamless performance across departments and company objectives.

Main Responsibilities:
  • Office Operations Leadership:
    • Manage the smooth functioning of administrative departments, including documentation, asset management, supplies, and team logistics.
    • Supervise interdepartmental coordination to align workflows and track cross-functional tasks.
  • Process Improvement & Standardization:
    • Develop standard operating procedures for all office functions.
    • Maintain document control, filing systems, and reporting formats.
    • Identify inefficiencies and implement process improvements.
  • Performance Monitoring & Reporting:
    • Review daily, weekly, and monthly reports from departments.
    • Prepare consolidated dashboards and updates for senior management.
    • Monitor KPIs related to operations, productivity, and project delivery support.
  • Team Management & Task Allocation:
    • Allocate tasks to department heads or coordinators.
    • Follow up on deadlines, pending work, and escalated issues.
    • Ensure team members are adequately supported and resourced.
  • Policy Enforcement & Employee Engagement:
    • Maintain discipline, attendance, and punctuality within the office.
    • Work closely with HR for employee engagement, conflict resolution, and training needs.
  • Communication & Escalation Handling:
    • Act as a central point of communication between departments and top management.
    • Handle operational escalations and ensure timely resolution.
    • Conduct regular meetings with department heads.
