Job Overview:

We are seeking a highly skilled Senior Office Coordinator to join our team as an Executive Assistant to the Managing Director. The successful candidate will be responsible for managing the MD's calendar, maintaining records of all schedules, and sharing timely information about scheduled meetings.

Main Responsibilities:

  • Efficiently manage the Managing Director's emails to ensure proper organization and timely responses.
  • Provide comprehensive support to the Managing Director, including managing appointments, diary, coordinating travel and accommodation arrangements as needed, organizing dates, creating agendas, taking minutes, and preparing essential paperwork for meetings.
  • Handle post and correspondence efficiently, undertaking mailings and communications as directed by the Managing Director.
  • Report directly to the Managing Director and play a pivotal role in supporting day-to-day tasks and responsibilities, ensuring a smooth and effective workflow.
  • Maintain daily production updates accurately documenting the information in the designated format and present it for analysis and decision-making.
  • Conduct a daily review of employees' tasks, monitor due dates, and ensure timely completion of assigned activities by communicating with the concerned team members.

Requirements:

  • Candidate with prior 5-6 years of experience in a similar role is preferred.
  • Bachelor's degree in Business Administration or related field is a plus.
  • Excellent communication skills.
  • Strong clerical skills and attention to detail.
  • Proficiency in Microsoft Office Suite.
  • Ability to multitask and prioritize tasks effectively.
  • Strong organizational and time management skills.
  • Willingness to travel.
