Job Title: Chief Administrative Officer

Overview of the Role:

The Chief Administrative Officer plays a pivotal role in ensuring smooth day-to-day functioning and maintaining high standards of facilities and services at our esteemed educational institution.

Responsibilities:

  • General Administration & Coordination
    • Supervise and coordinate the functioning of all non-academic departments to ensure efficient operations.
    • Act as the primary point of contact between the Principal and operational staff, fostering effective communication and collaboration.
    • Ensure timely reporting, compliance, and smooth implementation of policies across departments, guaranteeing a seamless experience for students, staff, and stakeholders alike.
  • Departmental Oversight
    • Accounts: Monitor fee collection, vendor payments, budgeting, and compliance in coordination with the Finance Team to maintain financial transparency and accountability.
    • Estate Management: Ensure proper upkeep, maintenance, and safety of school infrastructure and assets, safeguarding the well-being of students and staff.
    • Transport Management: Oversee safe and efficient transport services, including fleet maintenance and route planning, to provide reliable transportation solutions.
    • Horticulture: Supervise landscaping and upkeep of green areas to ensure a healthy and aesthetic campus environment, promoting academic excellence and student success.
    • Drinking Water Arrangements: Ensure availability of clean, safe drinking water at all times, prioritizing student health and well-being.
    • Hygiene & Housekeeping: Maintain cleanliness, sanitation, and waste management across the campus, upholding high standards of hygiene and hospitality.
    • Parents Interaction: Support non-academic parent queries and coordinate feedback mechanisms, fostering positive relationships and open communication.
    • ERP Management: Monitor and ensure efficient usage of school ERP systems for smooth operations, leveraging technology to enhance productivity and efficiency.
    • Hospitality: Oversee arrangements for school events, meetings, and visitor hospitality, creating a welcoming and inclusive atmosphere.
    • Security: Ensure robust security measures, including staff deployment, safety protocols, and compliance with safety norms, guaranteeing a secure environment for students, staff, and visitors.
    • Infirmary: Supervise health and medical facilities for students and staff; coordinate with medical staff for emergencies, providing timely support and care.
    • Procurement: Manage vendor relations, purchasing processes, and timely availability of supplies within guidelines, ensuring value for money and supporting business continuity.
    • Support Services: Coordinate additional support functions as required for the smooth running of the school, responding to evolving needs and priorities.
  • Compliance & Reporting
    • Ensure adherence to all statutory, legal, and safety regulations applicable to school operations, upholding regulatory requirements and best practices.
    • Maintain effective record-keeping for audits, inspections, and internal reviews, ensuring transparent and accountable governance.
    • Lead, motivate, and supervise non-academic staff across departments, driving performance excellence and teamwork.
    • Conduct regular training and performance reviews for operational teams, fostering growth, development, and continuous improvement.

Qualifications & Skills:

  • Graduate/Postgraduate in Business Administration, Management, or a related field, demonstrating strong academic credentials and expertise.
  • Minimum 7–10 years of experience in administration/operations, preferably in an educational institution or service sector, showcasing relevant industry knowledge and leadership skills.
