Financial Operations Assistant

The role of a Financial Operations Assistant is crucial in maintaining the accuracy and efficiency of our financial operations. This position plays a vital part in ensuring timely and precise invoicing, which is essential for our business.

The successful candidate will be responsible for preparing and issuing invoices to customers while meeting the invoice delivery timelines. They will also be expected to enter invoices into customer invoicing websites and submit them electronically through data interchange.

In addition, the Financial Operations Assistant will be required to check each field on the invoices before submission and ensure that all necessary support documentation is attached. They will also need to maintain accurate records of invoice submissions and customer invoicing processes.

Good communication skills are essential for this role, as the Financial Operations Assistant will work closely with the payroll and invoicing team to accelerate the invoice submission process. They will also be responsible for sending out statements of accounts to customers and reconciling self-billed cases with customer-approved timesheets.

The ideal candidate will have experience in invoicing, preferably in a finance or accounting background. They should possess excellent written and oral communication skills and be proficient in Microsoft Excel, with knowledge of formulas, V-lookup, and Pivot Table. Analytical and logical skills are also highly valued in this position.

Responsibilities:

  • Prepare and issue invoices to customers
  • Enter invoices into customer invoicing websites
  • Submit invoices electronically through data interchange
  • Check each field on the invoices before submission
  • Maintain accurate records of invoice submissions and customer invoicing processes
  • Send out statements of accounts to customers
  • Reconcile self-billed cases with customer-approved timesheets

Requirements:

  • Experience in invoicing, preferably in a finance or accounting background
  • Excellent written and oral communication skills
  • Proficiency in Microsoft Excel, including formulas, V-lookup, and Pivot Table
  • Strong analytical and logical skills
  • Ability to work accurately and efficiently under pressure
