Job Description

The role of Strategic Operations Partner is pivotal in supporting the senior leadership in driving business growth and strategic initiatives. This full-time remote position offers excellent opportunities for professional development and career advancement.

Key Responsibilities:

  • Inbox & Calendar Management:
    • Manage email inbox, prioritize messages, draft replies, and flag urgent matters.
    • Schedule and coordinate meetings with stakeholders and internal team members.
    • Anticipate needs, surface critical information, and ensure timely preparation for all meetings and decisions.
  • Deal Pipeline and CRM Management:
    • Oversee the firm's CRM and deal pipeline, extracting property and market information from Offering Memorandums (OMs), stakeholder emails, and NDAs.
    • Track deal stages and generate pipeline reports.
    • Maintain daily HubSpot tasks and task checklists, ensuring alignment with organizational objectives.
  • Deal Support and Analysis:
    • Prepare offering memos (OMs) and investor-facing materials in PowerPoint using branded templates.
    • Draft Letters of Intent (LOIs) in Word and assist with NDA reviews.
    • Conduct market research and pull key data from CoStar to support underwriting.
    • Extract essential information from OMs and stakeholder materials and input into pre-built Excel models.
  • Research & Communication:
    • Engage in market diligence calls with stakeholders, brokers, and industry experts.
    • Compose regular investor update emails and reports.
    • Prepare concise research briefs and business memos to inform investment decisions.
  • Operations and Process Development:
    • Develop and refine Standard Operating Procedures (SOPs) for recurring tasks and business processes.
    • Ensure digital files are organized and information is consistently logged across systems.
    • Identify areas for workflow improvement and propose solutions for increased efficiency.

Requirements:

  • Bachelor's degree in Business, Finance, or a related field
  • Prior experience in strategic operations roles, Executive Assistant, Operations Manager, or similar positions
  • Excellent English communication skills, both written and verbal
  • Proficiency in MS Office Suite (Excel, PowerPoint, Word)
  • Ability to learn and work with software platforms like HubSpot and CoStar
  • Strong analytical and problem-solving skills, with ability to manage multiple priorities.
  • Demonstrated ability to think critically, anticipate needs, and serve as a trusted advisor to senior leadership.
