Job Summary:
We are seeking an experienced Administrative Operations Specialist to join our team in Bangalore. This role will be responsible for managing administrative functions, ensuring smooth operations, and maintaining compliance within the organization.
Key Responsibilities:
- Vendor Management: Oversee vendor contracts, licenses, and insurance formalities, including timely payments and renewals.
- Compliance: Ensure adherence to necessary compliance standards for all employees and contractors, coordinating with relevant teams to maintain necessary documentation.
- Data Management: Maintain accurate and up-to-date employee records, including personal files and PF-related documents. Assist the accounts team with required documentation for payroll, reimbursements, and personal details.
- Employee Relations: Respond to general inquiries from managers and employees, directing them to appropriate policies and procedures for resolution. Procure and distribute laptops efficiently, maintaining accurate inventory records. Coordinate and manage logistics for off-site meetings and leadership gatherings.
- Audit Support: Prepare and organize necessary documentation for external and internal audits, including background verification reports, contracts, and other relevant files.
- IT Support: Create presentations and assist during all-hands meetings and other org-level meetings.
Requirements:
- Experience: 3 years of relevant administrative experience (freshers encouraged to apply)
- Technical Proficiency: Proficient in Microsoft Office Suite, especially Excel and PowerPoint
- Organizational Skills: Strong organizational and time management skills to prioritize tasks effectively
- Attention to Detail: Meticulous attention to detail to ensure accuracy in documentation and processes
- Problem-Solving: Ability to identify and resolve issues independently or by collaborating with relevant teams
- Communication Skills: Excellent written and verbal communication skills to interact with diverse stakeholders
- Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality
- Positive Attitude: A positive and proactive approach to work, with a willingness to learn and adapt
- Team Player: Ability to work collaboratively with team members and cross-functional teams
Salary and Benefits:
The estimated salary for this role is up to ₹4,500,000 per annum, depending on experience. We offer a comprehensive benefits package, including health insurance, retirement plans, and opportunities for professional growth and development.
