Job Title: Senior Operations Coordinator

We are seeking a seasoned professional to oversee daily operations and develop efficient procedures.

Key Responsibilities:

  • Process Improvement: Design and implement streamlined processes for administrative systems and activities.
  • Staff Development: Assess and provide coaching to staff to ensure maximum efficiency.
  • Inventory Management: Monitor office supplies, purchase materials within budget constraints, and track costs to assist in planning.
  • Facilities Oversight: Oversee facilities services, maintenance activities, and tradespersons (e.g., electricians).
  • Office Organization: Organize and supervise other office activities, including recycling, renovations, event planning, housekeeping, security, pantry management, and cleanliness.
  • Policies Compliance: Ensure operations adhere to organizational policies and regulations.
  • Knowledge Management: Stay informed about all organizational changes and business developments.
  • Information Flow: Facilitate the smooth and adequate flow of information within the organization to support other business operations.
  • Negotiations: Negotiate with vendors and travel agents to secure the best prices.
  • Travel Arrangements: Manage employee calendars, arrange travel itineraries, and accommodations (domestic and international).
  • Vendor Selection: Select, coordinate, and manage vendors, ensuring timely delivery commitments.
  • Supply Chain Management: Purchase, re-order, and maintain housekeeping supplies and other inventory.
  • Asset Maintenance: Maintain and upkeep all office assets, including Annual Maintenance Contracts (AMCs).
  • Reporting and Compliance: Track expenses to ensure compliance with budgets and submit reports on administration expenses to senior authorities.

Qualifications and Skills:

  • Ability to work independently with minimal supervision.
  • Excellent documentation skills using MS Word, PowerPoint, Excel, etc.
  • Strong interpersonal skills and effective communication with clients, colleagues, and management.
  • Good time management skills, prioritizing, scheduling, and adapting as necessary.
  • Excellent oral and written communication skills.
  • Strong team player with experience in admin support services.
  • Good mailing communication and basic drafting skills.
  • Proactive and reliable individual capable of performing well under challenging situations.
