Job Overview

We are seeking a highly organized and detail-oriented individual to fill the role of Operations Associate. This position will provide exceptional support to our CEO in daily business operations, working remotely and requiring excellent organizational skills, ability to prioritize, strong communication, and a proactive approach to managing both routine and ad-hoc tasks across finance, HR, recruiting, and client engagement.

Key Responsibilities:
  • Send invoices to customers and follow up on accounts receivable.
  • Manage accounts payable follow-ups and vendor payments.
  • Run QuickBooks Online payroll.
  • Reconcile bank statements and verify bank charges.
  • Identify and cancel unwanted subscriptions.
  • Collect employee timesheets, I-9s, W-9s, and other compliance documents.
  • Work with insurance agents to maintain company insurance (WC, GL, E&O).
  • Ensure all required insurance and compliance documentation is up-to-date.
  • Conduct daily stand-up calls with LATAM and India recruiting teams.
  • Prioritize job openings and allocate resources.
  • Create MSAs (Master Service Agreements) and POs for new hires and supplier partnerships.
  • Reach out to new clients and respond to new client inquiries.
  • Support preparation of proposals, MSAs, and POs for clients.
  • Co-create business brochures and social media content.
  • Assist with advertising campaigns on social media platforms.
  • Liaise with CPA for bookkeeping, tax filings, and compliance.
  • Collaborate with internal and external stakeholders (vendors, suppliers, recruiters, clients).
  • Support CEO with administrative and operational tasks as required.
Qualifications:
  • Bachelor's degree in Business Administration, Accounting, Finance, HR, or related field.
  • 3–5 years of experience in operations, finance, HR coordination, or executive support.
  • Proficiency with QuickBooks Online and MS Office (Excel, Word, PowerPoint).
  • Experience handling invoices, payroll, and bank reconciliations.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills in English.
  • Comfortable working in PST time zone.
Preferred Skills:
  • Experience in IT staffing/consulting environment.
  • Knowledge of U.S. compliance documents (I-9, W-9, insurance certificates).
  • Familiarity with social media marketing tools.
  • Prior exposure to working with cross-border teams (India, LATAM, U.S.).
