Executive Assistant

Built by ex-Amazon ad-tech experts, our client is an Enterprise B2B SaaS start-up which offers a future-proof Retail Media Operating System - boosting e-etailer's profitability by 7% of Sales Their platform supports retailers with advanced targeting, analytics & 2x better ROAS. Their client base is spread across India, US and Europe.
As an Executive Assistant, you will manage the stakeholders calendar, coordinate travel, help with bookings, organize meetings, handle internal communications, and assist with special projects. Your role is crucial to ensuring the smooth operation of our executive team's activities.
- Manage and maintain stakeholders schedules, including organizing and coordinating appointments, meetings, and conferences.
- Ensure efficient time management by prioritizing and resolving conflicts as necessary.
- Arrange complex and detailed travel plans, itineraries, and agendas for both domestic and international travel.
- Compile and organize necessary documents for travel-related meetings and ensure executives are well-prepared.
- Manage and oversee multiple tasks and projects with a high level of attention to detail and accuracy ensuring completion on time.
- Schedule and coordinate meetings, ensuring all logistical aspects are covered.
- Take detailed notes during meetings, prepare initial drafts of minutes, and summarize key points for review and distribution.
- Act as a liaison between executives and internal/external stakeholders, managing communication flow.
- Organize and maintain executive files, records, and other documentation, ensuring that all documents are easily accessible and securely stored.
- Plan and coordinate company events, meetings, and conferences. Manage all event logistics, including venue selection, catering, and attendee communication.
- Build and maintain positive relationships with internal and external stakeholders.
- Ensure that the executive's needs and preferences are anticipated and met.
- Provide support to other team members as needed, ensuring smooth operations
Requirements
- You are an awesome juggler of tasks & an excellent project manager
- You hate "mess" and are super organized

- You are cheap with my money (we are frugal)
- You know kayak, makemytrip and other OTAs along with international visa processes & vendors like the back of your hand
- You have the memory of an Elephant
- You are FAST and are the type of person that gets your work done WAY before schedule just because you can
- You can deal with executives, who are always busy, bad at communicating, and does not give much direction
- You are not afraid to give the same executives S-H-$-T for being bad at communicating and for not giving direction so that you can get your work done
- You are pretty good with computers
- You are an amazing scheduler & communicator with external stakeholders with an extremely high degree of attention to detail
- 2-7 years of EA/Office Management Experience
