Job Overview

The HSTC Operations Coordinator plays a pivotal role in ensuring the seamless operation of High-Stakes Test Centers.

This individual will be responsible for coordinating scheduling across the HSTC network, reviewing upcoming availability and capacity requirements to guarantee optimal performance.

Additionally, they will collaborate with the Workforce Management team on Speaking Examiners' allocation forecast, monitor the utilization of HSTCs, and recommend adjustments or expansions based on demand.

Effective management of accurate invoice submissions for HSTCs, verifying exam volumes and facilitating timely payments is also crucial.

Furthermore, this role requires coordination with internal teams to manage unforeseen events, ensuring minimum impact on candidates and stakeholders.

Overseeing CCTV monitoring across HSTCs to ensure ongoing compliance with regulatory standards is also an essential aspect of this position.

Requests from HSTCs regarding changes in setup or personnel will be directed to the appropriate internal teams.

This individual will proactively identify and communicate quality-related observations or opportunities for improvement to the relevant teams.

Conducting visits to High-Stakes Test Centers to assess operations, ensure adherence to company standards, and provide on-site support for continuous improvement is also a key responsibility.

Requirements
  • Bachelor's degree in business administration, operations management, or a related field is preferred.
  • 1-3 years of previous working experience in a multi-cultured environment would be considered a plus.
  • Excellent attention to detail is essential.
  • Advanced computer literacy is required, with ECDL Advance level certification being desirable.
  • Clear and effective communication skills, both written and verbal, are necessary.
  • Strong organizational and time-management skills are required.
  • Ability to work under pressure and meet tight deadlines is crucial.
  • Experience in liaising with multiple teams and departments is advantageous.
  • Strong focus on compliance, ensuring all processes and communications adhere to relevant regulations, industry standards, and company policies is vital.
