About the PositionThis is an exciting opportunity for you to develop your skills in payroll processing and administration. As a Payroll Trainee, you will be responsible for ensuring that timesheet processing for specific regions or clients is carried out with precision and timeliness.
Key Responsibilities:
- Timesheet Reviewing: You will thoroughly review timesheets submitted on a weekly, fortnightly, or monthly basis to verify hours worked, leave taken, and overtime accuracy.
- Mailbox Management: You will manage the payroll department's mailbox, responding promptly to queries, organizing incoming timesheets and documents, and maintaining a seamless communication flow.
- Data Accuracy: A critical part of your role is double-checking all data entries for inconsistencies or errors, spotting discrepancies, and ensuring accurate payroll data before processing.
- Error-Free Processing: You will maintain flawless records by accurately saving timesheets and updating Excel trackers, cross-verifying data, and ensuring organized and up-to-date files.
- Special Instructions: You will identify and communicate any special payroll instructions, such as adjustments, bonuses, or deductions, to the payroll team to ensure correct application during processing.
- Invoice Support: You will assist in preparing supporting documentation for client invoices, ensuring available and correctly formatted timesheet and payroll data.
- Record Maintenance: You will update and maintain payroll records, ensuring completeness, accuracy, and secure storage for future reference and audits.
- Experience: 1–2 years of experience in payroll processing or a similar corporate role, with a solid understanding of payroll cycles and administrative processes.
- Analytical Skills: Strong analytical skills are essential for handling payroll discrepancies and ensuring accuracy.
- Attention to Detail: Precision is key in payroll; you must be meticulous in reviewing data, spotting errors, and ensuring compliance with regulations.
- Communication: Strong verbal and written communication skills are important for interacting with team members, responding to queries, and documenting processes clearly and professionally.
- Tech Savvy: Proficiency in Microsoft Excel, including functions like VLOOKUP, pivot tables, and data validation, is essential.
- Team Player: You should be comfortable working in a collaborative environment, supporting colleagues, and contributing to a positive and productive team culture.
