The role of the Front Office Executive is crucial in providing exceptional service standards to patients and visitors alike. As the first point of contact, it is essential to make a lasting impression.
Responsibilities
- Client Interaction: Greet visitors with courtesy and professionalism, provide accurate information regarding hospital services, doctors, schedules, and procedures, guide patients and attendants to the appropriate departments, handle patient complaints or queries promptly and escalate to higher authorities if required.
Key Responsibilities
- Appointment Registration Management: Schedule, confirm, and reschedule patient appointments, register new patients and update existing patient details in the hospital system, maintain proper documentation, coordinate with doctors and nurses to manage patient flow efficiently.
Front Desk Operations:
- Phone Calls and Emails: Answer phone calls and emails in a professional manner, maintain the reception area's cleanliness and ensure a welcoming environment, manage visitor entries and ensure adherence to hospital policies, handle courier, mail, and external communication.
Billing and Records Management:
- Coordination: Coordinate with billing staff for cash, card, or insurance-related transactions, maintain accurate patient records and ensure confidentiality of medical information, support in generating daily, weekly, monthly reports related to front desk operations.
Coordination and Administration:
- Assistance: Assist in handling emergencies by directing patients to the right medical team, support in hospital events, awareness programs, and health camps when required, follow standard operating procedures (SOPs) and compliance guidelines.
Required Skills and Qualifications:
- Excellent Communication Skills: Excellent communication and interpersonal skills are required to interact with patients, visitors, and colleagues effectively.
- Proficiency in MS Office: Proficiency in MS Office and hospital management software is necessary for efficient record-keeping and data analysis.
- Multitasking: The ability to multitask and remain calm under pressure is essential for this role.
- Strong Organizational Skills: Strong organizational and time management skills are required to prioritize tasks and meet deadlines.
