Business Operations Specialist

A versatile and highly organized Executive Coordinator is required to support the Founder across various aspects of operations, strategy, personal logistics, and wellness.

Key Responsibilities:
  • Manage the Founder's calendar, fitness schedule, travel, and personal items
  • Drive the Founder to meetings, events, and personal commitments
  • Track important dates, social events, and personal appointments; ensure timely execution
  • Refill and organize personal supplies (supplements, grooming essentials)
  • Ensure vehicle cleanliness, servicing, and maintenance schedules
  • Handle gifting, printing, parcel pickups/deliveries, and event coordination
  • Coordinate with external vendors, service providers, and partners
  • Lead operational execution: schedules, workflows, communications, and follow-ups
  • Track attendance, payroll, payouts, and team capacity
  • Ensure clear meeting documentation: notes, insights, and actionable outcomes
  • Utilize Notion, Asana, Google Workspace, and AI tools to streamline workflows
  • Partner with the Founder on business strategy, pitches, and development initiatives
  • Conduct research, audits, and prepare strategic presentations
  • Monitor accountability across stakeholders and projects
  • Conduct daily personal training sessions as required
  • Design and adapt fitness programs, track progress, and ensure safe, effective sessions
Requirements:
  • Graduate degree in Business, Management, or related fields
  • 1–2 years of experience in EA, operations, or support roles
  • Certified personal trainer (preferred, or demonstrable training experience)
  • Valid driver's license (mandatory)
