Job Responsibilities:

Office Management:

  • Renew global office leases in collaboration with the Transformation team and country MDs.
  • Proactively organize office renewals and openings.
  • Define requirements with local MDs and negotiate terms with landlords and brokers.
  • Build business cases with the Transformation team and local MDs for CFO approval.
  • Support lease consolidation as part of the MetrixLab – Toluna integration.
  • Liaise and coordinate with global building landlords, vendors, and property agents/brokers throughout the lease lifecycle.
  • Coordinate with building management for operational issues.

Carbon Footprint:

  • Collect office-related data for the annual carbon footprint exercise.
  • Input data for the annual carbon footprint exercise.

MIS & Reporting:

  • Maintain the office lease repository and tracker.
  • Build business cases and recommendations for office renewals and openings.
  • Report on office footprint transformation.
  • Update SOP on office lease management.

Requirements:

  • 1-2 years of experience in Office Management, Finance, Procurement, or Operations with vendor management experience.
  • Graduate qualification.
  • Strong proficiency in MS Office.
  • Strong analytical skills, including Excel skills and business case modeling.
  • Strong written and oral communication skills.
  • Strong interpersonal skills, including listening, collaboration, and confidence to dissent/challenge.
  • Highly motivated, self-directed, and driven personality capable of working under tight deadlines.
  • Problem-solving ability and logical solutions to resolve complex situations.
  • Willingness to work flexible hours to support global operations.
  • Demonstrated ability to perform and prioritize multiple tasks in a fast-paced environment.
  • Exposure to global facility management is a bonus.
  • Experience working with international clients and negotiating with external vendors is a bonus.
