About this role:

As a Software Asset Management Specialist, you will be responsible for the end-to-end lifecycle of software assets, ensuring efficient procurement, license management, compliance, renewals, and vendor coordination.

This includes

  • software requests via portals,
  • license validation and assignment through vendor portals,
  • initiating license harvesting or procurement when required,
  • maintaining accurate records of license assignments, usage, and compliance,

Additionally, you will track contract expirations using dashboards, coordinate with teams for contract reviews and renewals, and ensure documentation is maintained for audit readiness.

Key responsibilities also include

  • creating and managing purchase requisitions and POs,
  • collaborating with teams for PR processing,
  • ensuring all approvals are documented,
  • tracking PO status and updating stakeholders accordingly,
  • using shared mailboxes for all vendor interactions,
  • ensuring all communications are tagged to relevant tickets,
  • coordinating with vendors for quotes, license keys, and order confirmations,
  • managing add-ons and plugin deployments,
  • conducting regular license usage reviews and reclaiming unused licenses,
  • ensuring all actions are documented for audit and compliance,
  • supporting internal and vendor audits by providing accurate data,
  • maintaining and updating dashboards for renewals and compliance tracking,
  • exporting and formatting data for dashboard imports,

Requirements for this role include:

  • a Bachelor's degree in IT, Business, or a related field,
  • 3–6 years of experience in Software Asset Management or IT Procurement,
  • proficiency in SAP, Ariba, Asana, Remedy, and Microsoft 365 Admin Center,
  • a strong understanding of software licensing models and compliance,
  • experience with vendor portals and contract management systems,
  • excellent documentation, communication, and stakeholder management skills,
  • the ability to work independently and collaboratively in a global team environment.

Preferred qualifications include ITIL Foundation or SAM certification, experience with Intune, Microsoft Entra, and Azure Cost Management, and familiarity with audit processes and legal contract review.
