Sustainable School Operations Coordinator

About This Role

This position requires an individual who is confident in their ability to venture beyond the school campus and take charge of various tasks. These include interacting with government offices, ensuring that infrastructure complies with regulations, and managing vendor relationships.

Support for external events, management of school marketing campaigns, and coordination with preschools for outreach are also key responsibilities.

In addition, owning a two-wheeler is essential for this role as it involves regular local travel.

Main Responsibilities

  1. Government Licensing & Compliance
  2. Create and maintain a regulatory compliance calendar (Fire, DoE, Sanitary Board, Local Authority)
  3. Prepare, scan, and archive documentation needed for audits or renewals
  4. Attend inspections, accompany officials, and ensure corrective action plans are followed
  5. Liaise with legal advisors to align school policy with latest education mandates
  6. Vendor and Maintenance Oversight
  7. Identify reliable vendors: collect quotes, evaluate, and negotiate pricing
  8. Sign vendor MoUs, maintain files, and track validity of contracts
  9. Monitor work completion (repairs, pest control, deep cleaning) and report service quality issues
  10. Accounts & Audit Support
  11. Organize audit folders (license copies, payment logs, MoUs)
  12. Coordinate with transport, security, and housekeeping for monthly expense statements
  13. Submit all vendor invoices, fuel records, and petty cash reports on time
  14. Digital Marketing & Campaign Coordination
  15. Coordinate first-round hiring calls for digital marketers
  16. Share past lead data, campaign patterns, and strategy notes during onboarding
  17. Sit in on weekly review calls and track deliverables from digital partners
  18. Update digital gallery logs and gather testimonials and media permissions
  19. External Events & Preschool Liaison
  20. Visit preschools to conduct sessions, deliver kits, and set up stalls
