Job Title: Location Scheduling Specialist

Position Summary:

This is the first level within the Scheduling Specialist job family and requires supervision and mentoring. The main responsibility is to maximize time for field consultants with clients while developing trusting relationships with assigned staff and operations management. The incumbent will manage timeliness for assigned orders and coordinate production schedules for all assigned field staff.

Key Responsibilities:

  • Organize and schedule assigned field engineering visits by overseeing workload and calendars; communicate with clients and coordinate visit times; prepare and distribute visit agendas; work with work assignment teams and client service teams to resolve problems with visiting a client site.
  • Establish partnerships with external and internal clients.

Required Skills:

  • At least six months to one year of experience required to perform essential job functions.

Preferred Qualifications:

  • Customer service and work scheduling or related work experience.
  • Knowledge of Microsoft Office applications, specifically Excel and Outlook, with ability to learn new systems. Good communication skills, both oral and written.
  • Embracing teamwork and working independently. Problem-solving abilities and planning, organizing, and prioritizing work.
  • Attention to detail, self-motivated, solid math aptitude, and analytical skills.
  • Time management and flexibility/adaptability to change. Ability to work under pressure and multitask.
  • Bilingual skills are a plus.
  • Customer service oriented.

Must Have Skills:

  • Proficiency in MS 365 and ability to learn proprietary business systems and workflow tools.
  • Fluent reading and writing English.
  • Additional language skills such as French, Spanish, German, Portuguese are preferred.

Education and Certifications:

  • Other qualifications accepted, but a 4-year college degree or Bachelor's preferred. Combination of education and work experience will be considered.
