Administrative Operations Manager
As the cornerstone of our administrative infrastructure, you will play a pivotal role in overseeing daily operations and planning efficient administrative procedures. Your primary goal will be to ensure seamless execution of all support activities, allowing other operations to function optimally.
Key Responsibilities- Process Optimization: Develop and implement streamlined administrative processes and systems to enhance productivity.
- Team Development: Assess staff performance, provide coaching, and guidance to maximize efficiency and effectiveness.
- Inventory Control: Monitor office supplies, purchasing new materials while adhering to prudent expenditure.
- Facilities Management: Oversee facilities services, maintenance activities, and tradespersons (electricians) to ensure optimal functionality.
- Office Coordination: Organize and supervise various office activities, including recycling, renovations, event planning, housekeeping, security, pantry, and cleanliness management.
- Compliance: Ensure operations comply with policies and regulations.
- Organizational Awareness: Stay informed about organizational changes and business developments.
- Information Flow: Facilitate the smooth exchange of information within the company to support business operations.
- Negotiations: Negotiate with vendors and travel agents to secure the best prices.
- Travel Arrangements: Manage calendars, arrange travel itineraries, and accommodations for employees (domestic and international).
- Vendor Relationships: Develop, coordinate, and manage vendor relationships.
- Purchase and Inventory: Purchase, re-order, and maintain housekeeping supplies and other inventory.
- Maintenance: Maintain and upkeep all office assets.
- Annual Maintenance Contracts: Manage Annual Maintenance Contracts (AMCs).
- EHS and Fire Safety: Implement EHS and fire safety measures.
Qualifications and Skillset
- Independence: Work effectively with minimal supervision.
- Documentation Skills: Utilize MS Word, Power Point, Excel, and other software with excellence.
- Interpersonal Skills: Strong communication skills with clients, colleagues, and management.
- Time Management: Prioritize tasks, schedule, and adapt as necessary.
- Communication Skills: Excellent oral and written communication skills.
- Teamwork: Demonstrate strong teamwork and Admin support service skills.
- Communication: Possess good mailing communication and basic drafting skills.
