Emergency Response Coordinator

As a key member of our global clinical team, you will play a vital role in supporting 24/7/365 emergency assistance and evacuation requests. Your sense of urgency and ability to think critically will be essential in addressing these high-pressure situations. Your primary focus will be on evacuations, as well as direct support with guarantee of payment and other case coordination duties. You will ensure that all internal and external parties are briefed with the most relevant information, and cases are documented to the highest standard. Additionally, you will provide updates to all vested interested parties, internal and external. Your exceptional communication skills will be a valuable asset in this role, as you will be responsible for collating documentation on cases and assisting with reporting and reviews pre and post service.

When not dealing with evacuations, you will support the clinical team on other duties, depending on business priorities and requirements on a daily basis.

Key Responsibilities

  • End-to-end coordination of emergency assistance cases, including evacuations, repatriations, RMRs, time-sensitive access to care, and related details.
  • Act as the single point of contact (SPOC) for all emergency assistance cases, with a high sense of responsibility, ensuring ownership of outcomes and full support of the global clinical team.
  • Monitor workflow and manage workload independently, prioritizing tasks with a high level of urgency.
  • Liaise directly and promptly with emergency vendors at critical touch points, escalating as required by the specific scenario.
  • Anticipate and ensure that both case managers and emergency vendors have the necessary documentation to complete vital tasks (GOPs, benefits, clinical reviews, etc.).
  • Collate and compile medical information from multiple systems, coordinating with other teams and departments, ensuring documentation is readily available and clear. You will review whether case documentation meets additional reporting requirements prior to closure and ensure it meets the highest standards.

  • Supporting clinical programs
  • Partnering with the global clinical team, regardless of book of business or time zone
  • Arranging peer-to-peer calls
  • Auditing/reviewing data capture and accuracy
  • Assisting with ad-hoc requests that align with clinical priorities
  • NPS outreaches
  • Clinical language assistance – as applicable
  • Other duties as required in a dynamic environment

Requirements

  • Proven top performer with previous experience in customer service or care teams, with a preference for evacuations and at least 1 year of experience in a healthcare insurance role, with experience in evacuations and repatriations preferred.
  • Excellent verbal and written communication skills, with a preference for at least two languages.
  • Demonstrated ability to work in a high-pressure environment.
  • Prior experience with systems such as Salesforce, claims systems, and Microsoft Word is preferred.
  • Demonstrated ability to handle challenging situations in a professional and calm manner.
  • Ability to adapt in a dynamic work environment and make decisions with minimal supervision.
